Enabling email notifications


There are three circumstances when the administrator or custodian will want notification:
  • Open Text Social Workplace sends the administrator emails about issues or alerts (they appear in the administrator account’s Mailbox)
  • users email the custodian (they appear in the custodian account’s Mailbox)
  • there are new updates in the FC Update Service container on the administrator’s FirstClass client Desktop.
Although the administrator and custodian can log into their accounts and check for these things, Open Text Social Workplace can also be made to send notifications to the external email addresses of the administrator and custodian.



Sending notifications when email arrives
To set up automatic notification for the administrator and custodian, either both need to follow the procedure below, or the administrator needs to follow it twice, once logged in as the custodian.
To redirect mail:
1       Log into the FirstClass client as the administrator.
2       Choose Edit > Preferences.
3       Open the Messaging tab.
4       Fill in the Automatically forward section:
Local mail – choose Yes
Internet Mail – choose Yes
Method – choose Redirect
Forward to – type the administrator’s or custodian’s external email address.

5       Log into the FirstClass client using the Custodian's account.
6       Repeat steps 2 to 4 while in the Custodian account.


Notifying the administrator of new updates
The Open Text Social Workplace server connects nightly to the Updates Server at Open Text. If it finds new updates or licenses in the Updates Server, it delivers them to the FC Update Service container on the administrator’s Desktop.
To notify the administrator that new updates have arrived:
1       Use the FirstClass client to log into the Open Text Social Workplace server as the administrator.
2       Select or open the FC Update Service container.
3       Choose Collaborate > Rules.
4       Click New Receive Rule.
5       Fill in the Receive Rule form:
If – choose Always
Then – choose Redirect
To – type your external email address.
